Cancellation Policy

We compensate our therapists for being prepared and present for your scheduled appointment. From a financial standpoint, we cannot remain operational if we are compensating our therapist to prepare for sessions that client's don't attend.

If you need to cancel an appointment, please notify our office at least 24 hours in advance. If you do not cancel before 24 business hours, your card on file will be charged a cancellation fee of $50.

Excessive no-shows and/or cancellations will result in termination.

* Under Section 2799B-6 of the Public Health Service Act, health care providers and health care facilities are required to inform individuals who are not enrolled in an insurance plan or coverage or a Federal health care program, or not seeking to file a claim with their plan or coverage, a Good Faith Estimate of expected charges, both orally and in writing or upon request or at the time of scheduling health care services.

WARNING: When any changes to your insurance plan occur, whether you made them or not (e.g., adding or changing benefits, switching to a family plan, exceeding an annual maximum, end of term deductible resetting, switching insurance companies, a lapse in payment of your monthly & premium, etc.), those changes may affect the portion of the mental health bill you are responsible for (aka, the "patient responsibility"). When those changes occur, your insurance company does not inform us of them, nor does it inform us of how it will affect the portion of the bill you're responsible for- at least not immediately. We don't learn that changes to your plan have occurred, or that your patient responsibility has changed, until your insurance company sends us what's called a Payment Report, which we don't receive until, sometimes, several weeks after the changes were made, at which point we've often already rendered, sometimes, several appointments under the assumption that your plan, and previous Patient Responsibility, hadn't changed. Here's a case example to illustrate this issue. Let's say you complete an intake appointment with us in July. At the time, your "patient responsibility" is a co-pay of $25. Then, let's say changes are subsequently made to your insurance plan later in the year (let's say, on September 1st ). Unbeknownst to us, those changes resulted in your insurance company no longer covering mental health services, which means the "patient responsibility"; (your responsibility) is now 100% (not the previous $25 copay). For reasons beyond our control, we may not learn of that from your insurance company until weeks later (say, October 1st ) after they've processed our claims and they send us a Payment Report. Unfortunately, because we didn't know about those changes when they occurred back on September 1st, we continue to provide weekly sessions throughout the month of September, only to receive the Payment Report from your insurance company the following month on October 1st indicating that your coverage ended or changed the previous month, which means you weren't covered for those four sessions we rendered in September; which means you are financially responsible for 100% of those four appointments in September.

In short, when any changes are made to your insurance plan, whether you make them or not, it is your responsibility to know whether those changes are going to affect your "patient responsibility" for mental health services with us. Furthermore, it is your responsibility to discontinue services with us if you are not amenable to those changes, including the new patient responsibility.
